What to Do After Applying for a Job: Fresher Tracker and Follow-Up Email Templates

You have applied for several jobs. One portal says “Application Received”, another says “Under Review”, and one recruiter has not replied. Should you email HR today, wait, or apply again? A simple system helps you avoid missed assessments, duplicate applications and awkward follow-ups.

This guide is for freshers and early-career candidates applying to off-campus software, support, operations, trainee and internship roles in India. It includes a copyable tracker, follow-up email drafts and a decision process. No employer’s exact reply time is guaranteed.

Updated: 9 October 2026.

Step 1: Verify that the application was actually submitted

Submitting a resume file is not always the same as completing an application. Some employer portals require a final review/confirmation screen, declarations or an account verification step. After applying, check the portal history and any confirmation message. Save the role title and Job ID or Requisition ID when available.

If the official portal reports “Application submitted” and gives a reference number, keep that identifier. If you reached a broken third-party form and never reached the employer’s own portal, return to the official listing before attempting again. Use the Hiring365 job-verification checklist if the source looks suspicious.

Step 2: Make one tracker instead of relying on inbox memory

A spreadsheet is enough. One row should represent one application to one specific role, not an entire company. Copy these columns into your spreadsheet:

ColumnExample or purpose
CompanySampleCo (illustrative)
Role and Job IDJunior QA Analyst / JA-123 (illustrative)
Official role URLLink to the employer posting
Location / work modeAs the employer states it
Applied dateDate you submitted
Confirmation / referencePortal acknowledgement ID
Current statusApplied, assessment, interview, rejected, closed
Last recruiter contactDate and channel, if any
Follow-up eligible dateOnly if contacting is permitted
Next actionPrepare, respond, wait, recheck or close

Privacy tip: Do not store passwords, OTPs, full identity-document numbers or sensitive account details in this tracker. Keep confirmation screenshots private.

Step 3: Interpret portal statuses cautiously

Status shownSafe interpretationWhat you can do
Applied / Submitted / ReceivedPortal recorded a submissionKeep confirmation and continue searching
Under Review / In ProcessApplication may be in an internal workflowWait for instructions; do not assume shortlist
Assessment InvitedAction may be requiredRead the official email, deadline and test rules
Interview ScheduledMeeting has been arrangedConfirm time, timezone, platform and identity
Rejected / Not SelectedApplication ended for that roleRecord result and move to suitable roles
Position ClosedVacancy may no longer accept applicationsDo not assume another job at the company is closed

These are common interpretations, not universal definitions. The employer’s specific portal or HR communication takes priority.

Step 4: Decide whether a follow-up is appropriate

There is no official universal recruiter response deadline. As a practical default, waiting around one to two weeks after applying before one polite follow-up is commonly suggested by career-advice resources such as Indeed India. Adjust that window for a stated closing date, holiday, recruitment drive or specific recruiter instructions.

Before reaching out, answer all four questions:

  1. Did I apply through the real employer system, and is my submission recorded?
  2. Does the listing or automated email explicitly say not to contact recruiters? If yes, respect it.
  3. Do I have a genuine recruiter or official careers contact? If no, do not guess someone’s email format or message unrelated employees.
  4. Is there a meaningful question or update, such as a deadline, additional requested material or another offer with a response deadline?

If the answer to the contact question is “no,” the best next action may simply be to monitor the portal and continue applying elsewhere.

Follow-up email template 1: No response after applying

Use this only when you have a legitimate recruiting contact and the employer has not requested no follow-ups.

Subject: Follow-up on application — [Role Title], [Job ID]

Hello [Recruiter’s Name],

I applied for the [Role Title] position ([Job ID], if available) on [Date] through [Company]’s careers portal. I remain interested in the opportunity, particularly the chance to contribute my [one relevant skill or project].

I understand the hiring process may take time. Please let me know if any further information would be useful or if there is an update on the application timeline.

Thank you for your consideration.
Regards,

Keep the final email concise. Replace every placeholder, name only skills you genuinely possess, and avoid claiming the hiring manager has already reviewed your application.

Follow-up email template 2: After an interview

Immediately after an interview, a short thank-you is appropriate when the interviewer or recruiter has provided a valid channel. If a decision timeline was promised, wait until that timeline passes before asking for an update.

Subject: Thank you — [Role Title] interview on [Date]

Hello [Name],

Thank you for speaking with me about the [Role Title] opportunity on [Date]. I enjoyed learning about [one specific team responsibility discussed]. The conversation reinforced my interest in the role.

Please let me know if you need any further details from me. I look forward to hearing about the next steps.

Best regards,

Don’t send repeated versions of the same message to every person in a team, and don’t chase recruiters multiple times in a single day.

What if I have another offer deadline?

You may send a single factual update through the official recruiter channel: say you remain interested, mention the deadline of another offer only if true, and ask whether the organisation can share its expected timeline. Avoid threats, inventing an offer or demanding a decision. If no response arrives, decide based on the actual offer already in hand and your circumstances.

What to do while you wait instead of refreshing the portal all day

  • Prepare a 60-second self-introduction tailored to your two target role families.
  • Review the required skills on roles you applied for; practise the most common concepts.
  • Check your inbox and spam folder at set times rather than continuously.
  • Practise one aptitude, coding or communication topic relevant to your likely assessment.
  • Keep applying to other verified, suitable jobs until you have a confirmed written offer.
  • Update your application tracker after any test, interview, email or status change.

A 15-minute Friday review routine

Set aside a short weekly session and sort the tracker by “Next action.” First, handle assessment deadlines. Second, reply to recruiter messages. Third, check follow-ups that are genuinely eligible. Fourth, close roles that have been rejected or withdrawn. Finally, shortlist next week’s best-matching openings. The objective is to reduce mental clutter and improve application quality—not to turn every job application into an endless follow-up campaign.

Common fresher questions

Is “Under Review” a shortlist?

Not necessarily. It can be a workflow label, not confirmation of the next round.

Should I message an employee on LinkedIn after applying?

If they are the actual recruiter or have invited relevant questions, a respectful message may be appropriate. Avoid unsolicited bulk messages or asking unrelated employees to guarantee referrals.

Can I apply twice to the same Job ID?

Usually there is little benefit to duplicate entries. Check the employer’s instructions or support channel, especially if you need to correct a submitted form.

How many follow-ups should I send?

Start with one appropriate message. If the employer sets a timeline or asks you not to contact them, follow that instruction. Repeated contact cannot guarantee a reply.

Does no reply mean rejection?

No. It means you do not have a confirmed update. Continue your search while respecting any decision or closure notice when it arrives.

The takeaway

After applying, record the submission, prepare for the next step and follow up selectively. A good tracker helps you act when action is needed and move forward when waiting is the only reasonable option. Use our guide to finding openings on official company career pages and discover suitable roles on Hiring365 Jobs, but confirm every application status and recruitment decision with the employer.
